Person in Charge (PIC) Checklist and Guide
Upon agreeing to organize and be responsible for a Troop 11 campout or
other offsite activity – to be the Person in Charge (PIC) – the following
checklist of tasks and responsibilities has been prepared by the Troop
to help guide you. Of course, you area expected to attend the campout
or activity. But remember, you should have the required training to be
able to participate (Youth Protection Training, Outdoor Leader Skills,
etc.).
This checklist and guide applies to standard weekend campouts or
activities (e.g. Webelos Woods), not to high adventure or other
extended trips. It is organized chronologically from early planning,
to the campout or activity, and through the follow up accounting and
attendance reporting. This is intended to serve as an aide and guide,
but you will likely need to vary from this somewhat for your campout
or activity. If, after your campout or activity you find gaps in this
checklist or have suggestions that would make it more useful to future
users, please forward suggestions to the
Troop Webmaster.
WHEN AGREEING TO LEAD THE CAMPOUT OR ACTIVITY:
- Look at the archived camping information on the troop website from past Troop 11 events
at the same location. If it’s not on the website, ask the Troop Committee
Chairman who was the PIC for the last Troop 11 activity at the same location,
and contact that person to get information and suggestions from the last time.
- Reserve the campground, etc., including any possible reservations for
associated activities (e.g. canoe rentals, fishing vessel charters, etc.).
See if the Troop can do a service project while there and make the arrangements.
This step should be done as soon as possible to ensure availability of camp
sites and facilities.
- Attend the first possible Troop Committee meeting to report on plans
for the campout or activity and your progress on arrangements. Expect to
brainstorm the campout or activity with other troop leaders who have experience
with the location, facility or activity. A budget for campout or activity
will be discussed and agreed upon. Check with Scoutmaster to estimate number
of campers for planning purposes.
