PIC (Person in Charge) Checklist and Guide
Tour Permit
A tour permit is required for each troop outing, unless the event is sponsored by
the Golden Arrow District or the Sam Houston Area Council. Examples of
'sponsored' events are the Merit Badge Fair, the Scout Fair and the Webelos
Woods campout. The
Tour Permit Coordinator takes the lead on this for the
Troop and will arrange the tour permit. You should contact him about 3 weeks
out to alert him to your activity and the fact that you will need a tour permit. He
will need the following information about 2 weeks before the outing:
- A count of the number of boys on the trip (although you probably won't have
an exact count two weeks out, please provide best estimate).
- The names of the drivers and adult leaders on the trip (same as above -
please provide best estimate).
- If we are renting canoes or kayaks, he will need the name, address and
telephone number of the firm we are renting from and the quantity, length,
model and manufacture of the rented equipment.
- If it is a canoe trip, he will need the put-in/take-out points.
BSA requires that Scout sanctioned trips (and the national insurance that covers
them - and us) include adequate trained leaders (e.g. those holding current
training certificates) for each trip. The number of trained leaders and type of
training will vary, depending on the activities anticipated on the trip. For
example:
- Every trip must have at least 1 Leader trained in CPR
- trips that will involve rock climbing (such as when we go to E-rock) require
leaders trained in Climb on Safely
- trips over water require leaders trained in Safe Swim Defense
- trips involving canoeing require leaders trained in canoe safety - either flat-
water or white water, depending on the activity
The
Tour Permit Coordinator has a database of adult leader information required
for tour permits:
- Car make and model, TxDL #, insurance, capacity for # passengers
- Certifications: CPR, Climb on Safely, Safe Swim Defense, Canoe Cards
